First-Time Setup (2 Minutes)
Log In
Use email/password or tap your staff name and enter your 4-digit PIN. Managers and admins can access all areas.
Configure Shop
Go to Settings → Shop. Set currency (e.g., £), VAT rate (e.g., 20%), upload your logo, and set receipt footer text.
Go Live
Create your first repair or sale. The system automatically saves everything and syncs to the cloud when online.

Enter customer details: name, phone, email. Existing customers auto-complete.

Finding Repairs

Use the global search (magnifying glass) to search by customer name, phone, ticket number, or device model.

Scan a printed QR ticket with any barcode scanner to instantly open that repair.

For Cash: enter amount tendered. Change is calculated automatically.

For Card: the amount is recorded. Connect your card reader separately (Worldpay, Zettle, Square, etc.).

For Split: enter how much on cash, how much on card. Both are recorded.

Apply a promo code before payment if the customer has one.

Tap Print Receipt — it prints to your connected thermal printer instantly.

A digital copy is also saved and emailed if the customer email is on file.
Refunds & Exchanges

Go to Sales Records and find the original transaction by date, receipt number, or customer.

Tap the transaction → Refund. Select which items to refund (full or partial).

For exchanges: use Exchange on the till or the Exchange button on a sales record — look up the receipt, tick returns, add replacements (scan/search), then settle any difference on the full-width settle strip.

Even swaps need no money movement. If new items cost more, collect the difference; if less, choose cash/card/transfer credit. Prefer one exchange when they also buy something extra.

Refunded stock is automatically returned to inventory.

A refund receipt is printed and a record is kept for accounting.

Organising with Folders

Drag products into folders. A product can be in multiple folders.

Stock Batches (FIFO)

When receiving new stock, tap the product → Add Batch.

Enter quantity received, supplier, batch number, and cost price for this batch.

The system tracks each batch separately using FIFO (first in, first out).

Barcode Labels

Frequently Asked Questions
Do I need internet to use the app?
No. All core features work offline. You only need internet for initial setup, subscription verification, and sending emails. Sales, repairs, inventory, and reports all work without a connection.
How do I add a new staff member?
Go to Settings → Staff → Add Staff. Enter their name, email, and assign a role. Set a 4-digit PIN for quick login. They can sign in immediately on any device.
Can I use my existing barcode scanner?
Yes. Any USB HID barcode scanner works instantly — just plug it in and scan. For Bluetooth scanners, pair them first. The app also supports camera scanning on mobile devices.
What happens if my subscription expires?
You get a 24-hour grace period where everything continues to work. After that, a lock screen appears. Renew your subscription online to restore access instantly.
How do I export data for my accountant?
Go to Reports → choose the report type → Export CSV. You can export sales, repairs, inventory valuation, and staff commissions. All CSV files open in Excel or Google Sheets.
Can I customise receipt layout?
Yes. Go to Settings → Receipt Template. Drag sections to reorder, add your logo, change fonts, and include custom footer text. Preview and print a test receipt before going live.
How does the repair warranty work?
Repairs get a warranty period from collection (shop default or per-ticket). If a customer returns with a faulty part or related issue, open the original ticket and tap Create warranty repair — a new linked ticket is created for the warranty work while keeping the original for history.
Can I process refunds?
Yes. Go to Sales Records, find the original transaction, and tap Refund. Select which items to refund (full or partial). Refunded stock returns to inventory automatically. A refund receipt is printed and saved.
